The Owner-Operator's Estimate Routine: Quoting at Night Without Losing Tomorrow

If you are the electrician, the estimator, the dispatcher and the bookkeeper, quotes get written at night. After the last call, after dinner, maybe after the kids are in bed. The longer each one takes, the later you are up, and the more quotes slip to the weekend. A tight routine fixes that. Here is one that works for a lot of one-van and two-van shops.

Fewer Quiet Quotes Start With Faster Quotes

The ideas in When a Quote Goes Quiet: Handling Unanswered and Declined Electrical Estimates help once a quote is out. For an owner-operator, the bigger problem is often getting the quote out in the first place. A homeowner who waits a week for your estimate has likely already heard from someone else.

Capture on Site, Not at Night

A big time saver is writing things down while you are standing in the house. On a walkthrough or a service call where the homeowner asks about bigger work, put the measurements and equipment on the property right then: square feet, fixtures, circuits, the main panel with its rating and location, and any access notes.

That way, the evening quote is assembling information you already have, not trying to remember whether the panel was in the garage or the basement. The walkthrough itself is covered in The Site Walkthrough: Gathering What You Need for an Accurate Electrician Estimate.

Use Templates for Anything You Quote Twice

If you quote EV chargers every week, you should never type a charger quote from scratch again. Save templates for your most common jobs: a charger install, a panel upgrade, a generator install, recessed lighting and a small-repair bundle. At night, open the template, adjust the lines for this house, fill in the equipment going in, and send.

Because templates are built from your service list, the prices are already right. A rewire or lighting line priced off the property's measurements fills itself in from what you saved on site.

A Simple Nightly Routine

A routine many owner-operators find workable:

Done consistently, that takes far less time than writing quotes from scratch in a word processor.

Let the System Do the Chasing

As an owner-operator, you do not have time to call every homeowner who has not answered. Estimate follow-up emails do it for you. Online approval means a homeowner can say yes at their own kitchen table without waiting for you to pick up the phone. And when they approve, the estimate becomes the scheduled job, so there is nothing to retype in the morning.

Automatic night-before, on-the-way and arrived texts handle the next step. You are not calling customers from the truck to say you are running late.

Getting Paid Without Another Evening Task

When you tap Complete on the job in the tech app, the invoice is created and the card on file can be charged. The customer can also pay online in the customer app. That removes billing from the nightly list for most jobs, and past-due follow-up handles the ones that slip.

For an owner-operator, every task that happens automatically is time back. On the Start plan at $59 a month, the estimate tools, tech app and billing are all there from day one.

When You Add a Second Van

The routine scales. When you hire your first tech, they log into the tech app with your company login and their own PIN, and the dispatch board shows each van's day. Your quoting routine stays the same, and your templates mean that if you hand quoting to someone in the office later, the estimates still look like yours.

Protect One Night a Week

Even with a good routine, quoting can creep into every evening. Some owner-operators keep one night a week free on purpose and let the follow-up emails carry the open quotes until the next evening. Homeowners do not notice a one-day gap; they notice a one-week one. A short routine done most nights beats a long one done in a panic on Sunday.

Quote Tonight, Sleep Tonight

Capture on site, quote from templates, let follow-ups and approvals run on their own, and keep the nightly list short. For more on quoting in ElectricalBossPro, visit the ElectricalBossPro electrical estimate software page.
