Backing Up an Electrical Invoice With Photos and the Safety Inspection Report
Electrical work is mostly invisible. Once the cover is back on the panel and the drywall is closed, the customer cannot see what they paid for. That is why so many billing questions in an electrical shop sound the same: “What exactly did you do for that?” An invoice with line items answers part of the question. Photos and a written report answer the rest.
Proof for the Lines on the Bill
The previous guide, Extra Work Found on Site: Getting It Onto the Electrical Invoice the Same Day, was about getting every piece of work onto the invoice. This one is about backing those lines up, so a customer who questions a charge gets an answer in a minute.
In ElectricalBossPro, photos and inspection results are saved with the job, right next to the invoice.
Before-and-After Photos
Techs take before-and-after photos in the tech app, and the photos stay with the job. A few that are worth taking on most electrical jobs:
- The problem. The scorched outlet, the old fixture, the cracked cover.
- The work area before. What the panel or box looked like when the tech arrived.
- The work area after. The finished, labeled, cleaned-up result.
- New equipment. The new panel, charger or surge protector, including its label where it is readable.
Photos take seconds and save far more time later. They also help the next tech, who can look at the past job before arriving.
The Safety Inspection Checklist
On inspections, the tech works through the safety inspection checklist in the tech app: main panel inspected with the cover off, breakers tested and labeled, AFCI and GFCI testing, grounding and bonding, surge protection, lugs and connections checked for heat or looseness, outlets and switches, smoke and CO detectors, exterior outlets and covers, meter base and service drop, and the generator, transfer switch or EV charger if the house has them.
The tech also records readings, such as voltage, main breaker amps, measured load, ground resistance, panel age, the hottest spot from an IR scan and any issues found, plus a condition (Good, Needs attention or Repair recommended) and written recommendations.
The Electrical Safety Inspection Report
The office sees the checklist on the job and can print an Electrical Safety Inspection report for the homeowner. For billing, that report does a lot of work:
- It shows what the inspection fee bought. A $149 safety inspection at your price feels very different with a clear report behind it than with a one-line invoice.
- It explains the recommendations. If the tech recommends follow-up work, the report is the starting point for an estimate.
- It keeps plan customers renewing. A yearly inspection customer who gets a report every year sees the value of the plan.
The checklist and report are a record of what the tech checked and found. Decisions about repairs are made between your electrician and the customer.
Answering a Billing Question in a Minute
When a customer calls or texts about a charge, the office opens the job and sees, in one place:
- The line items and sales tax on the invoice.
- The before-and-after photos.
- The tech's notes.
- The inspection checklist, readings and recommendations, if it was an inspection.
- The equipment saved on the house.
A quick reply through two-way texting, with a description of what the photos show or a copy of the report, usually ends the question. Compare that with digging through a paper ticket and calling the tech to ask what they remember.
Fewer Disputes, Faster Payment
Customers pay faster when they understand what they are paying for. Clear line items in the customer app, photos on the job and a printed inspection report all push in the same direction: fewer questions, fewer disputes, and fewer invoices sitting open while someone decides whether a charge was fair. That feeds straight into getting paid faster, which is the subject of How Electricians Get Paid Faster Without Chasing Customers.
Records That Stay on the House
Photos and inspection results stay with the job, and the job stays with the house. Next year, the tech arriving for the yearly inspection can look at last year's findings before starting. The customer who asks “didn't you mention this last time?” can get a real answer.
Invoices Backed by the Work
An electrical invoice is easier to pay when the customer can see the work behind it. In ElectricalBossPro, before-and-after photos, the safety inspection checklist and the printed Electrical Safety Inspection report sit right next to the invoice on the job.
