Website Requests and Sign-Up Forms: New Electrical Customers Without Retyping

Your website is supposed to bring in work. For many small electrical shops, it brings in an email that someone reads, copies into a spreadsheet, calls back and types into an invoice later. Every copy is a chance to lose the lead. Website forms that feed straight into your software remove those steps.

Two Kinds of Forms

New customers often arrive needing a price, and measurement-based pricing is covered in Square Feet, Fixtures and Circuits: Property Measurements That Price Electrical Work. Before any of that, they have to get into the system.

ElectricalBossPro has two forms you can put on your website:

Both land in Form Responses in the office, not in somebody's inbox.

Form Responses

Form Responses is the inbox for your website. Each response shows what the customer entered: who they are, where they are, what they want. The office works the list from top to bottom: call or text the requester, build an estimate, or convert a sign-up into a client.

Because everything is in one place, nothing gets lost in a personal email account or a spam folder. Anyone in the office with access can see what came in today and what is still waiting.

One Click to a Client

When a sign-up comes in, one click converts it into a client. The customer's name, contact details and address become a client record with a property. The service they signed up for is attached. If they signed up for a yearly plan, the plan is set by its minimum days between visits and the first visit lands on the Waiting List.

The card captured on sign-up is on file, so when the tech taps Complete on that first visit, the invoice can be charged automatically. Nobody reads card numbers over the phone and nobody types the customer in twice.

Requests Become Estimates or Jobs

Request form responses usually turn into one of two things. A simple service call goes straight onto a van and a day on the dispatch board. Bigger work, such as a panel upgrade or a generator install, becomes an estimate built from your service list. The customer approves it online, and the approved estimate becomes the scheduled job.

Either way, the information the customer typed on your website carries through. The address goes on the map. The description goes on the job. See Electrical Estimates in Software: From Your Service List to an Approved, Scheduled Job for how that works.

Answer Fast

A homeowner who fills out a request form for an electrician has often filled out two or three. The shop that answers first usually gets the first conversation. Form Responses makes it easy to see what is new, and two-way texting lets the office reply right away by text instead of waiting to catch the customer on the phone.

A short reply such as “Thanks, we got your request. Can we come Thursday morning?” often settles it. The customer's reply comes back to the office, so whoever is at the desk can carry the conversation through to a booked call, even if someone else sent the first text.

Existing Customers Use the App

Website forms are mainly for new customers. Customers you already serve can request service and sign up for plans in the customer app, where their address and card are already on file. That keeps the website forms for first contacts and the customer app for repeat work.

Both routes end in the same place: a client with a property, the right service, and a card on file when one has been captured.

Less Typing, More Booked Work

The old way is an email, a spreadsheet row, a phone call and an invoice typed by hand. The new way is a form response, one click, and a job. The time saved is real, but the bigger win is that fewer leads fall through the cracks between steps.

For a small electrical shop where the owner is often on a ladder when the website lead comes in, that matters. The lead waits in Form Responses until someone has a minute, with everything they need to act on it. For how forms connect to the rest of the system, go to the electrical contractor software page.
